Storage of Records

The Department of State, Division of Library and Information Services, Bureau of Archives and Records Management offers various services to handle Florida State University's records management, retention, and storage needs. Whether your department needs the space utilized by old files that should be destroyed, microfilmed, or stored, or you simply need to know how long certain records must be retained, the answers are all here.

Services provided by the Stae Records Center include:

  • Low-cost storage of records
  • Pickup and delivery of records
  • Consulting services about Records Center policies and procedures
  • Retrieval and delivery of records within 24 hours
  • After-hours emergency retrieval and delivery of records within 2 hours
  • Storage for oversized records (i.e. blueprints)
  • Restricted access to stored records
  • Disposal of records meeting retention guidelines
  • Microfilm and magnetic tape storage
  • Document imaging services

Records are stored at the Bureau of Archives and Records Management, Florida Records Storage Center, located at 4319 Shelfer Road in Tallahassee.

How to store records at the Records Storage Center:
A request must be submitted using the Department of State's Total Recall system.

Costs:
Records may be stored at the State Records Center Storage for $0.27 per box, per month. Boxes can be purchased through the State Records Center for a flats bundle of 25 for $35. Retrieving a record located at the State Records Center:
The Total Recall system also allows users to indicate what item they need. It will be pulled and returned to you, or you can pick the document up from the Records Storage Center.

Records Schedule & Retention
Once records have reached the required retention period, the State Records Center will notify the FSU RMLO. A Records Disposition Request will be forwarded to the responsible department for review. The department may then authorize the Records Storage Center to return or destroy the records.
